1 Personal Data We Collect
We collect data to operate effectively and provide you with the best possible experience when using our applications. Some of this data is collected by recording how you interact with our products—for example, through the use of technologies such as cookies, by receiving error reports, or when you contact us directly. We do not collect or obtain data from any third parties.
One-time data collection during product registration:
- Name and Email of the admin user for app registration
- Domain Name
- IP address (a number assigned to your computer when you use the Internet)
- Name of your internet service provider
- Your location, City, Region, Country, Zip Code & Time zone.
For any Beyond Intranet's apps we collect following additional information:
- Date and time of your visit
- Pages you visited, and how many "hits" a particular item is receiving and links "clicked"
- Data relating to malfunctions or problems occurring when you use our apps
- Data about your use of the apps, and particular features thereof, and how frequently you use them.
- Data of admin users (who have access to the configurations and masters) of the apps to reach out for the latest features, and payment renewal.
AI Products and Knowledge Management System
As part of the services offered through products leveraging AI and associated knowledge management solutions, Beyond Key (d/b/a Beyond Intranet) collects, processes, and stores data that is submitted by users in the course of utilizing our products. This data includes, but is not limited to, the following:
- Search Queries: When you interact with AI products, the system processes your natural language queries to provide contextual answers. These queries may be stored temporarily for the purpose of improving system functionality and ensuring relevant responses.
- Document Metadata: AI products may collect metadata associated with documents stored in your organization’s SharePoint or other integrated knowledge bases. This data is used solely for indexing and providing efficient search results and is not used for any other purpose unless explicitly stated.
- User-Generated Content: If you upload or create content (e.g., knowledge assets or documents) within the products leveraging AI, we may collect and store such content for the purposes of providing you with our services.
2 How We Use Personal Data
We use the data we collect to deliver the apps and services we offer, including improving and personalizing your overall experience. We may also use this data to communicate with you during support, consulting, or troubleshooting interactions, as well as to share relevant app updates.
We do not use the content of your emails, chats, video calls, voice messages, documents, photos, or other personal files to target third-party advertisements.
As a valued customer, we may display your organization’s name and logo in our customer list, unless you request otherwise.

We do not share your personal data with Advertisement providers or any third parties.

5 User Rights
5.1. Right to Correction and Erasure
We want to ensure your data is accurate and up to date. You have the right to:
- Correct inaccurate or misleading data.
- Complete any incomplete personal data.
- Update your information as it changes.
- Request Erasure of your personal data that is no longer necessary for the purpose for which it was collected, unless retention is required by law.

Retention. BeyondIntranet will retain the personal data you provide for as long as it is required to deliver services to you. If you request the deletion of your personal data, BeyondIntranet will initiate the deletion process within 30 days of receiving the request. Please note that there may be a short delay in removing data from all servers and backup systems. In certain cases, we may retain specific data for a longer period if required to comply with legal obligations, resolve disputes, or enforce BeyondIntranet’s agreements.
Beyond Intranet retains search queries, metadata, and user-generated content submitted through products leveraging AI for as long as it is necessary to fulfill the purposes for which the data was collected, including for the purposes of providing services, complying with legal obligations, resolving disputes, and enforcing our agreements.
Beyond Intranet will also comply with any data retention policies specified by your organization regarding the data stored in SharePoint or other integrated knowledge bases. Upon termination of your organization’s subscription to AI products, Beyond Intranet will delete or anonymize your data in accordance with our internal data retention policies, unless otherwise required by applicable law.
7 Modifications to Information
We strive to maintain the accuracy of any personal data collected from you and will use commercially reasonable efforts to promptly update our records when you inform us that the information we hold is inaccurate.
It is your responsibility to ensure that the personal data you provide is accurate, complete, and up to date. Upon request, you may obtain a copy of the registration data we maintain in our records by contacting us via email. Any updates will be made as soon as reasonably practicable.
8 How do we protect visitors’ information?
Our websites and applications are regularly scanned for security vulnerabilities and known threats to help ensure a safe and secure experience for our users. We also perform routine malware scanning as part of our security practices. If you suspect any unauthorized access to your data, please contact BeyondIntranet immediately so we can investigate and take appropriate action.
AI Products and Microsoft Azure
All data processed by products leveraging AI is stored and managed within Microsoft’s Azure cloud infrastructure, which complies with industry-standard security protocols, including encryption of data in transit and at rest. Beyond Intranet employs robust access controls, logging, and auditing to ensure that only authorized personnel have access to your data. However, you acknowledge that while Beyond Intranet takes reasonable precautions to safeguard your data, no method of transmission over the internet or method of electronic storage is entirely secure. Beyond Intranet disclaims liability for any breaches of data security caused by factors beyond our reasonable control, including unauthorized access to your internal systems.
User Responsibility for Security
You are responsible for ensuring that your organization’s SharePoint, Azure, and related systems are properly secured and configured according to best practices. Beyond Intranet disclaims any liability arising from vulnerabilities or security breaches originating from your internal systems or configurations.
We do not have any commercial/non-profit advertisements on our site or apps.
9 Third Party Disclosure?
We do not include or offer third-party products or services on our website and apps.
Internal Data Sharing
Products leveraging AI are designed to interact with your organization’s internal knowledge base, including SharePoint and other data repositories. As part of its operation, AI products may access and share internally stored data to provide answers to user queries. Beyond Intranet will never share this data with third parties unless explicitly authorized by your organization or required by law. Internally shared data is governed by the access controls and permissions established within your organization’s SharePoint and other integrated systems.
External Data Sharing
Beyond Intranet does not share personal or organizational data processed through AI products with any external parties, except in the following circumstances:
- With Your Consent: We may share data with third parties if you provide explicit consent.
- Legal Requirements: We may disclose your data to comply with applicable laws, regulations, or legal processes, or to respond to lawful requests by public authorities.
In the case of trial users of AI products, Beyond Intranet may use aggregated and anonymized data for the purpose of evaluating the functionality and performance of the trial version. However, no personally identifiable or organizationally specific information will be shared with third parties during or after the trial period.
